We are currenty recruiting for an Executive Assistant to join our Human Resources Team based in London on a part time basis.

 

The incumbent will be responsible for providing comprehensive administrative and secretarial support to the Head of Human Resources and working closely with his direct management team to provide quality driven HR service to the business.

 

This position reports directly into the Managing Director, Head of Human Resources, EMEA

 

 

Duties and Responsibilities

 

  • Full diary management, general administrative and secretarial duties for Managing Director, Head of Human Resources, EMEA partnering with PA’s across the Bank and MHI globally to ensure that meetings are organised efficiently.
  • Supporting the Head of Human Resources and his direct management team with scheduling meetings, preparing, collating and submitting meeting papers as required. 
  • Minute taking and secretariat duties (including the preparation, typing and distribution of materials) for key HR meetings, committees and project working groups.
  • Organise internal/external meetings including room/venue bookings, liaising with colleagues across the Bank, MHI and external parties as required.
  • Organisation of travel requirements, itineraries and expenses for the Head of Human Resources and when required for the HR Management Team.
  • Provide the HRBP team with administrative and practical support as necessary including in relation to recruitment and background screening, scanning and filing all relevant documents, assistance for example with employee relations cases and other administration as requested.
  • Support with relevant administrative tasks related to Learning & Development as required.
  • Completing general Office Management duties on behalf of the department including; managing stationery and storage requirements, supporting with the on-boarding of new joiners to the department and acting as the key HR contact for Facilities Management as needed.

 

Qualifications, Skills and Experience

 

  • Proven experience as a PA or in an administration role ideally within a fast paced, professional environment.
  • It is essential that the individual has experience of complex diary management. 
  • Excellent verbal and written communication skills with the ability to engage at all levels with internal stakeholders and external suppliers, candidates, professional services and executive search firms.
  • Possesses the ability to handle confidential information appropriately and work with discretion.
  • Ability to prioritise and manage tight deadlines working with a sense of urgency.
  • Minute taking – must be able to take good quality meeting minutes by audio.
  • Strong planning, time management and organisational skills with excellent attention to detail and accuracy.
  • Strong initiative and good judgement skills.
  • Maintain a flexible mind-set when managing changing priorities.
  • Ability to work as part of a team as well as manage projects independently
  • Proficiency in Microsoft Office, more specifically, Microsoft PowerPoint, Word and Excel
