What is the opportunity?

An Executive Assistant to support the Dual Hatted Head of EMEA and UK Legal and Compliance along with the Dual Hatted Deputy Head of UK Legal and Compliance in business, administrative and secretarial duties.

What will you be doing?

  • General EA duties for both the Dual Hatted Head of EMEA and UK Legal and Compliance and the Dual Hatted Deputy Head of UK Legal and Compliance, including but not limited to diary management, inbox management, travel arrangements and process expenses.
  • Provide secretarial and administrative assistance to the Dual Hatted Legal and Compliance team as required which can include:-
    • Proactive inbox and diary management;
    • Ability to act on behalf of stakeholder and first point of contact;
    • Effective gatekeeping, forward planning and scheduling;
    • Proactive flagging and escalation of priority emails;
    • Preparation and timely circulation of agendas, materials, minutes/actions, monitor and follow up of actions;
    • Support with first stage draft management information packs and board presentations as required;
    • Highlight priorities and conflicts to stakeholder, source delegates;
    • Communicate with clients directly, screening calls and providing responses, including resolving and/or directing enquiries to more appropriate areas in the firm; 
    • Ensure smooth running and execution of Legal and Compliance operations;
    • Act as the point of contact among the Legal and Compliance team for employees, clients and other external parties;
    • Arranging meetings (including with PRA, FCA, Senior Management and Head Office), booking rooms and sending invites;
    • Manage information flow to Head of and Deputy Head of in a timely and accurate manner;
    • Screen and direct phone calls and distribute correspondence;
    • Format Information for internal and external communications – memos, emails, presentations, reports;
    • Follow up on actions and meeting deadlines with the Head of and the Deputy Head of;
    • Respond on behalf of the Head of and the Deputy Head of and wider Legal and Compliance team to straightforward queries of a general nature without supervision;
    • Manage Legal and Compliance budget, tracking budget and unbudgeted spend across Purchase Orders and invoicing and providing awareness on actual budget;
    • Typing and amending lengthy documents on a mark-up basis (which commonly includes re-numbering and re-formatting) and password protecting files;
    • Assistance regarding London Branch senior management Power of Attorney which periodically requires updating and notarisation by Notary Public.
    • Processing invoices as required using both the Concur and EPS systems;
    • Recording entertainment (pre-approval and post approval using EPS system);
    • Booking business trips and preparing itinerary (pre-approval required and expenses processed on travellers return);
    • Arranging training/conferences/seminars with HR (complete necessary forms and obtain approval);
    • Fault reporting and liaising with Facilities;
    • Ordering stationery;
    • Archiving (maintaining list of archive documents and arranging archiving as necessary);
    • Arranging weekly team meetings and preparation of “Legal Updates” document in advance of meeting;
    • Renewal of solicitors practising certificates and Newspaper Licence.
    • Process Agent Letter, correspondence and preparation of process agent letters with group companies;
    • Make recommendations for new ways of managing workflows and process improvements as needed;
    • Develop collaborative relationships with the Executive Assistants to the other MD’s and CEO providing back-up support as needed;
    • Ensuring that all Job Descriptions are up to date and current;
    • Reviewing and maintaining L&C intranet sight is up to date and current;
    • Coordination of Intra-Office inspections required by Head office ECFCD;
    • Coordination of L&C team social events;
    • Helping new joiners in the L&C Department on departmental processes and procedures;

 

  • Provide regulatory duties to the Dual Hatted Legal and Compliance team as required which can include:-
    • Assisting Compliance with regulatory requirements
    • Assisting with processes such as gifts and entertainment
    • Assisting Head of Central Compliance
    • Managing compliance training across the business
    • Coordination of user access attestations

 

What do you need to succeed?

•             Proven experience as an EA or in an administration role ideally within a fast paced professional environment – ideally with previous experience of Legal and Compliance.

•             It is essential that the individual has experience of complex diary management.

•             Excellent verbal and written communication skills with the ability to engage at all levels with internal stakeholders and external clients.

•             Possess the ability to handle confidential information appropriately and work with discretion.

•             Strong organisational skills and an excellent attn to detail.

•             Ability to cope with a wide range of competing demands and changing priorities.

•             Ability to anticipate issues, problem solve and provide practical innovative solutions

•             Adaptable and open to change, showing a willingness and confidence to make suggestions for continuous improvement.

•             Confident and professional manner with the ability to build strong relationships with stakeholders and others.

•             Previous experience of working within a regulatory environment.

•             Understanding of UK FCA and PRA regulatory requirements.

•             Commercial and Financial acumen.

•             Ability to prioritise and manage tight deadlines working with a sense of urgency.

•             Minute taking – must be able to take good, quality meeting minutes by audio.

•             Strong planning, time management and organisational skills with excellent attention to detail and accuracy.

•             Strong initiative and good judgement skills.

•             Maintain a flexible mind-set when managing priorities.

•             Proficient in Microsoft office 365, PowerPoint, Word and Excel.
